⚠️ Important note before you publish this: This document was drafted to match QuietKeep's actual data practices and vendor stack as they exist today (AssemblyAI for transcription, Claude for entry-writing, Supabase for hosting, Paddle and PayPal for payments, OneSignal for notifications, Lulu for printed books). It is a strong, informed starting point, not a substitute for review by a qualified privacy lawyer — this matters especially once you have real users in the EU, UK, California, or other regulated regions.
1. Introduction
This Privacy Policy explains what personal information QuietKeep collects, why we collect it, who we share it with, and what rights you have. QuietKeep is a trading name operated by Muhammad Waqas Mansha, an individual based in Bahrain.
Voice recordings are treated as sensitive personal data. Because your voice can reveal things like your language, accent, and emotional tone, we handle it with the same care as other sensitive information described below.
2. Information we collect
| Category | Examples | Why we collect it |
|---|---|---|
| Account information | Email, name, login method (Google/Apple/email) | To create and secure your account |
| Voice recordings | Audio of your spoken diary entries | To transcribe into text (temporarily processed, not permanently stored as audio — see Section 4) |
| Diary content | Transcripts, AI-written entries, edits you make, photos you attach | This is the core content of the Service — your diary |
| Payment information | Subscription status, billing history | Processed by Paddle and PayPal (below) — we do not store your full card details ourselves |
| Shipping information | Name, address, phone (only if you order a printed book) | To fulfil and ship your physical book order |
| Device and usage data | Browser type, general usage patterns, crash logs | To keep the app working and improve it |
| Language preference | Your selected or auto-detected diary language | To transcribe and write entries in the correct language |
3. How we use your information
- To provide the core Service (recording, transcription, AI writing, saving entries)
- To process payments and deliver purchases (subscription access, printed books)
- To send you reminders and notifications you've opted into
- To respond to support requests
- To maintain security and prevent abuse
- We do not use your diary content, recordings, or transcripts to train any AI model — ours, AssemblyAI's, or Anthropic's.
- We do not sell your personal information, and we do not share it with advertisers.
4. Third-party services we use
QuietKeep relies on the following processors to operate. Each only receives the specific data needed to perform its job:
| Service | What it receives | Purpose |
|---|---|---|
| AssemblyAI | Your voice recording | Converts speech to text |
| Anthropic (Claude) | The text transcript | Writes the polished diary entry from your transcript |
| Supabase | Account data, diary entries, photos | Database hosting and authentication |
| Paddle | Billing/subscription details | Processes QuietKeep Pro subscription payments (acts as Merchant of Record) |
| PayPal | Payment and order details | Processes hardcover book purchases |
| OneSignal | Device token, email (if opted in) | Sends push notifications, emails, and shipping SMS |
| Lulu | Your diary text/photos formatted as a book file, and your shipping address (book orders only) | Prints and ships your physical hardcover book |
Some of these providers are based in the United States or other countries outside your own. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for these international transfers.
5. How long we keep your data
- Your diary entries and account data are kept for as long as your account remains active.
- Voice recordings are used only to generate the transcript and are not retained long-term after processing completes.
- If you delete your account, we will delete your personal data from our active systems within a reasonable period, and from backups on our standard backup rotation schedule. We cannot recall a physical book that has already been printed and shipped if you delete your account after placing that order.
6. Your rights
Depending on where you live, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Delete your account and associated data
- Export your diary entries (data portability)
- Object to or restrict certain processing
- Opt out of marketing communications at any time
To exercise these rights, contact us at supportquietkeep@gmail.com. We will respond within the timeframe required by applicable law (for example, 30 days under GDPR).
We do not sell personal information, so there is no "opt out of sale" needed — but you can still opt out of non-essential notifications at any time in Settings.
7. Children's privacy
QuietKeep is not directed at children under 13, and we do not knowingly collect information from children under 13. If you believe a child has provided us with personal information, please contact us so we can delete it.
8. Security
We use encryption in transit and at rest for stored data, and we limit access to personal data to what each service provider needs to perform its function. No system is perfectly secure, and we cannot guarantee absolute security.
9. International users
QuietKeep is available worldwide. If you are located in the European Economic Area, the UK, or California, you have specific rights described in Section 6, consistent with GDPR, UK GDPR, and CCPA respectively.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated date at the top of this page, and for material changes, we will notify you directly (for example, by email or in-app notice) before the change takes effect.
